Booking Terms & Conditions
General Terms
Connect Hemipshere Safaris organizes safaris in Uganda, Rwanda, Congo, Tanzania and Kenya. Please peruse through these terms and conditions carefully since they form the basis for the contractual relationship between the company and the client.
In these terms and conditions, "you" implies all persons named on the booking (including anyone who is added or substituted at a later date); "we" and "us" mean Connect Hemisphere Safaris. These terms are revised from time to time subject to changing circumstances; the terms at the time of booking are the terms that are valid. The standard of services here in Africa is judged in respect to a developing world.
Accommodation & Meals
We provide accommodation to our clients in elegant hotels /Camps with good and acceptable facilities including hot water, friendly staff and reasonable prices. We request all our clients in advance to advise on their dietary requirements. We reserve the right to alternate equivalent or superior hotels.
Complaints
Report your complaint immediately to the Safari Manager and the supplier. We shall do our best to help you. If not satisfied, submit a written report to the Manager/Supplier as soon as possible after the incident not later than 20 days after completion of your holiday to allow time for a thorough investigation.
Accuracy of information
The information, descriptions, opinions, national parks, gorilla permits, animal sightings, accommodation, and security as reflected in our itineraries, are given in good faith based on the information existing at the time of producing the information therein. Utmost care is taken to ensure the truthfulness of the information provided. We cannot accept any responsibility for any mistakes or omissions caused by issues past our control.
Note that a full payment is required for bookings made within four weeks of departure.
FORCE MAJEURE
We regret we cannot compensate where the proper performance of our duty is affected by any incident which we or the supplier of the service(s) in question could not, even with all due care, foresee, anticipate or avoid. Such events may include war, terrorist activity, unexpected government acts, civil strife, riots, natural disaster, border closures, industrial disputes, fire, road closures, pilferage, epidemics, quarantines, land and air travel, extreme weather conditions and other similar incidents beyond our capability to manage.
Depending on the itinerary of your choice, some activities carry with them the intrinsic risk of personal injury. These activities include gorilla trekking, Chimpanzee tracking, Walking tours, canoe/boat rides White water rafting, and Mountaineering. In such activities the principal of ‘volenti non fit injuria’ apply. I.e. any injury accruing from such activities rest on your shoulders.
Gorilla permits
As soon as payment for the safari has been received, we proceed to purchase your gorilla permits. Obtaining a gorilla permit is not a guarantee of seeing a gorilla. Though, the chances of seeing gorillas are 98%. Local conditions sometimes may affect accessibility to the gorillas at short notice. We can not accept liability for any circumstance that might lead to gorilla viewing being cancelled, whether it is closure of the national park; borders; absence of the gorillas; or security changes. Refunds are at the discretion of the relevant authority and we cannot accept liability for them. We shall endeavor to obtain a refund from the relevant authority and pass it on to the client.
Payment
Upon booking your safari and payment of the appropriate deposit of 30% of the total price including the fees for the Gorilla permits implies that you are in agreement with our terms and conditions. The balance should be paid before the start of the safari. Note that full payment is required for bookings made within 4 weeks of the departure.
Insurance
It is a requirement when booking your vacation that you arrange relevant personal travel insurance. Persons not fit for long trips due to heart disease, chronic illness, physical handicap, advanced pregnancy or mental illness are advised not to participate in rigorous travel arrangements. The insurance should cover injury, death, theft of the clients' personal property and medical expenses. Activities with the greater risk such as White water rafting and Mountaineering safaris should be covered.
Baggage
All personal belongings and baggage are at the passengers’ own risk.
National parks
Ensure you don’t pick anything from the natural world. Our safaris provide the chance to watch and photograph only wildlife, not to disturb it “take nothing but photographs and leave nothing but your foot steps”.
Taking photographs on a tour
We reserve the right to take photographic images of individual participants to use for commercial promotion of our safaris. Any participant who wishes that his/her picture should not be used is asked to identify him/herself to the tour guide at the start of the tour.
What is included in our safari tour
Our safari prices include:
- the cost of the gorilla trek and permit @$500 each,
- All accommodation,
- All ground transportation in private 4WD vehicles ,
- Full- time experienced safari guide (English speaking) and his associated expenses,
- All meals (except where B&B is denoted),
- Water and snacks in the vehicle,
- Entrances fees in National Parks,
- Chimpanzee tracking, boat/canoe rides,
- All applicable taxes and administration.
BUT it EXCLUDES, - International flights,
- Any items of personal nature i.e. drinks, laundry, telephone, souvenirs, visa fees porters at the gorilla trek, Travel / medical insurance, Gratuities for Guide/driver / hotel staff, Any extras not mentioned in the itinerary.
Our safari prices are on full board basis.
The company reserves the right to alter the safari services agreed upon with the client in the event of unexpected conditions, such as security issues, bad weather, road closures, vehicle condition. In such cases optional arrangements will be made as situations permit.
When you cancel
In case it is inevitable you must cancel your safari, you must inform us in writing. A cancellation is inefficient until we get a copy of your written notice. In order to meet our loss caused by your cancellation and as we may be unable to resell your holiday, cancellation fees will be charged per person as follows: Period before departure Cancellation charge (as percentage of total safari price paid where applicable)
When we cancel
It is uncommon to cancel confirmed bookings. We always try to avoid canceling, but we must reserve the right to do so. We shall not cancel your confirmed safari less than 60 days before departure unless we are forced to do so as a result of unusual and unforeseeable conditions beyond our control, the consequences of which we could not have avoided even with all due care. If we cancel your holiday (except where you have failed to make payment or as a result of force majeure) we shall offer you the choice of purchasing an alternative vacation from us of a similar standard to that originally booked if available. If the alternative is less expensive than your original holiday we shall refund the difference but if it is more expensive, we shall ask you to pay the difference. Alternatively you are entitled to a full refund of all monies you have paid to us save that paid for gorilla permits which can only be refunded if the refund has been made available to us. Except where we cancel for reasons other than those mentioned in this section, we shall have no additional charge to you. We are sorry we cannot pay any expenses and losses incurred as a result of any cancellation.
Cancellation Policy
Cancellations received will be subject to the following forfeit of safari cost:
- 101 days and above 20%
- 61-100 days 30% of safari cost
- 46-60 days 50% of safari cost
- 16-45 days 80% of safari cost
- 0-15 days 100% of safari cost
Please note that cancellation fees are based on the date your written notification is received at Connect Hemisphere Safaris .
Voluntary Execution
My advancement of a deposit to Connect Hemisphere Safaris Ltd declares that I have fully read and understood the contents of the terms and conditions, especially those regarding cancellation and refund policies, responsibility borne by tour participants and limitation of liability. On the advance of a deposit to Connect Hemisphere Safaris , the depositor, his or her family and beneficiary agree to be bound by the above Terms and Conditions.
Tips
This is at the discretion of the client and any token of appreciation is gladly received.
